Separate spaces for different teams or projects. Members, roles, and documents are fully scoped per workspace.
Full-text search
Search across document titles, tags and content in your workspace, and narrow it with AND / OR. Results show matching excerpts with context.
Document sharing
Share documents with specific teammates (view or edit access), or generate a public link for view-only access.
Nested folders
Organize documents in unlimited nested folder hierarchies. Drag documents between folders, or use the folder picker.
Version history
Every document edit is tracked. Browse the full edit history and restore any prior version with one click.
Daily notes
One-click daily note creates or opens today's note, organized into a Daily Notes folder.
Location tagging
Optionally record where a note was written, shown as a place name you can rename or remove. Off by default; coordinates are encrypted at rest like your content, and viewers who cannot edit see only an approximate position.
Tags
Tag any note and click a tag to see everything that shares it. Folder paths show as tags automatically, notes with audio are tagged Audio, and search understands #tag.

Record straight into a note. The audio is saved as a playable attachment and, unless you switch it off, transcribed and summarized underneath.
Recordings up to 3 hours
Long recordings upload in five-minute pieces while you are still talking, so a crashed browser or closed tab loses minutes, not the whole meeting.
Meeting capture
In Chrome and Edge on desktop, record a meeting tab's audio along with your microphone — both sides of the call, from any web meeting app.

Chrome web clipper
Save a whole web page, or just your selection, as a note in the folder you choose. It connects with a clip-only key that can create notes but never read or change existing ones.
Security
Two-factor authentication
Enable TOTP-based 2FA from your account settings. Compatible with Google Authenticator, Authy, 1Password, and any standard authenticator app. Optionally trust a device for 30 days.
Invite-only access
NoteSmith is currently invite-only. Admins control who can sign up, tracking all invites for future referral programs.
Email verification
All accounts require email verification before login. Unverified accounts cannot access the platform.
Encrypted connections
All traffic between your browser and our servers is encrypted with TLS. Passwords are hashed with bcrypt and never stored in plaintext.
Local-only vault
Turn any folder into a vault and its notes, subfolders and attachments live encrypted on your own disk — never uploaded, never synced, unreadable to us. Locks itself when idle; optional encrypted backups. Chrome and Edge.
Notifications
In-app notifications
Bell icon in the header shows unread activity. Notifications for mentions, shares, and document activity. Mark individual or all as read.
Dark mode
Full dark mode support throughout the app. Choose Light, Dark, or System from Settings → Appearance.
Mobile-friendly
Responsive layout works on phones and tablets. Slide-in sidebar on mobile, horizontal-scroll toolbar, full-screen chat panel.
